LinkHMS supports automated invoice generation to ensure accurate billing, simplify staff tasks, and speed up the payment process.

💡Notes

The system automatically generates invoices for every patient’s visit; thus, the selected service fee is instantly added without manual input.

Create an Invoice

  • Click the + New Visit button in the top right corner to schedule the appointment.

  • You can also pick any available time slot in the required doctor’s schedule and click the + New Visit button.

  • Fill in the required information in the New Visit form to book the appointment. If the patient has visited before, their personal and emergency contact details can be filled in automatically. If it’s a new patient, you’ll need to enter their information manually.

💡Notes

The price is always included automatically based on the service you choose. All service fees are primarily set through the Administration module and can be modified by the Clinic Admins.

  • Finalize the visit info entry with additional comments or reasons and click the Create button to add the visit.

  • The appointment is now listed in the doctor’s calendar and can be taken over by the Doctor at the specified time to start the visit workflow. 

  • The visit workflow is designed so that the Doctor and the Nurse can easily switch between tabs and view and enter patient health and visit information all in one place.

  • Navigate to the Service tab to view chosen services for invoicing.

  • You’ll see the already listed fee for the visit (specified by the service type chosen when scheduling the appointment) included in the invoice.

💡Notes

Each service appears as a separate record. If you need to include more services on the same invoice, continue adding new records.

  • Select the additional service from the dropdown menu. 

  • Add optional comments and click the activated Add New Record button. 

  • The new service is listed among the provided services during the visit. 

💡Notes

Make sure to verify the list before the visit’s completion, as you can add more (click the + Add New Record button) or delete some (click X to remove a service). No additional services can be added to the same invoice when the Doctor ends the visit.

Access the Generated Invoice

  • In the Patient’s profile, you can review all the details from the recent visit after the appointment’s completion.

  • Navigate to Recent Visit & Records and select the visit to access the invoice.

  • Choose the Services tab to view and print the invoice for the chosen visit.

  • Use your browser’s print settings to save or print the invoice.

💡Notes

LinkHMS provides Clinic Admins and Receptionists with extra tools for invoice management. They can also access invoices by using the separate Invoices tabs.

  • In the Patient’s profile, click the Invoices tab.

  • Access the list of invoices for a selected patient, where you can use extra filters to fastly locate the necessary invoice.

  • Choose the required invoice to view details, print a copy, or update its status.

  • Also, Receptionists and Clinic Admins have a separate Invoices tab in the left-side menu.

  • It compiles all patient invoices created by each practitioner in your clinic.

  • Use additional filters to quickly find the specific invoice you need.

  • Open the required invoice to check its full details, download or print it, and make updates to the invoice status.
